The problem :  

  1. The FPOs need to maintain certain books of records as well as documents that need to be filed as well as submitted as per the FPO guidelines (FPC Act). But many times they fail to do so either because, they do not know about it, or they forget to do it or even the facilitating agencies do not have the bandwidth to follow up. 

  2. There are bills and vouchers that need to be recorded which some of the FPOs making use of Tally software

  3. Due to this, the FPOs are not getting good CIBIL scores making them ineligible for receiving credit

 

The use case:

  1. We can add provisions in KD e.g. list of documents that need to have or are to be submitted to RoC on a particular date, the existing files can be scanned and uploaded and the FPO get an alert/reminder in its members' mobile through KD well in advance in case there is a due date for necessary action. We have to study what are such documents need to be considered. 

  2. There can be a place for uploading the bills and vouchers if that can be linked to their tally which they can import whenever they require of for taking printout or prepare the balance sheet etc. 

  3. Even we can have formats for balance sheets and other similar records/formats, which they only enter the value and get it done.

N.B. we can make KD more user-friendly, make it more an essential record-keeping instrument by diving into such challenges that the FPOs are facing. 

 

Questions

  1. Are these bills, vouchers uploaded by the FPOs for the bulk buy or by the farmers for their individual?

Why I was suggesting the list of compliance documents can be made available to them with a click with an alert: e.g all Directors (BoD) need to submit their KYC every Sept. But many times they forget. Recently, one FPO has deposited 40,000 INR as a fine and another over a lakh. There is a list of documents as compliance as per RoC (Registrar of Companies) that need to be submitted in time. So, the FPO can be strengthened by this kind of additional feature in KDE. 

2. Do they have any other use apart from compliance? 

Bills and vouchers related to purchasing of inputs such as fertilizer, farm implement, etc as well as when an FPO purchases the commodity from the farmer members, they issue a receipt. I am attaching a sample of the bill here.

3. Possible to share some of these receipts? Is it in the local language?
